Privacy Policy

Namibia National Career Week (NNCW), presented by Namibia Careers Expo, runs this website so learners, schools, exhibitors and partners can find out about the event and take part in it. This page explains, in plain language, what information we collect, why we collect it and what you can ask us to do with it.
What we collect
- Exhibitor applications: organisation name, postal address, contact person, mobile number, email address, stand option chosen, stand fascia name, number of lunch delegates and extra delegate passes, speaker-programme interest and whether you'd like to take part in school visits.
- Contact form: your name, email address, the role you selected (learner, school, exhibitor, media or other) and your message.
- Exhibitor accounts: if you create a login for the exhibitor portal, we store your name, company, phone number and any logo you upload.
- Basic technical data: the IP address a form was submitted from (used only to stop spam and abuse), plus anonymous, aggregated traffic statistics such as page views and referring sites.
How we use it
- To process and confirm exhibitor applications and allocate stands.
- To issue invoices and record payments made by EFT.
- To communicate with you about the event — logistics, the exhibitor information pack, programme updates and reminders.
- To answer enquiries sent through the contact form.
- To understand how the site is used, so we can improve it. This is aggregated and does not identify you.
- To protect the site from spam, bots and abusive submissions.
Who sees your information
Your details are handled inside the NNCW organising office. Invoicing and payment records are managed internally — there is no online payment processor collecting your card details, because payment is by EFT.
We use a small number of service providers purely to run the site: our website and database hosting provider, and our email delivery provider (used to send you confirmations and invoices). Website traffic statistics are privacy-friendly and aggregated — no advertising profiles are built. We never sell your information, and we never share it with third parties for marketing.
We may share information where the law requires it, or where it is needed to protect the safety of the event and its participants.
Cookies and tracking
We do not use advertising or cross-site tracking cookies. The site sets only the cookies and local storage needed to keep you signed in to the exhibitor portal and to keep your session secure. Traffic measurement is aggregated and anonymous.
How long we keep it
- Exhibitor applications, invoices and payment records: kept for five years after the event, so we can meet accounting and tax record-keeping obligations.
- Contact form messages: kept for up to 24 months, then deleted.
- Exhibitor portal accounts: kept while the account is active; we delete them on request.
- Anti-spam records (IP addresses): kept only briefly and then cleared.
Your rights
You can ask us at any time to:
- tell you what information we hold about you;
- correct anything that is wrong or out of date;
- delete your information, where we're not required to keep it;
- stop sending you event updates.
Email us and we'll respond as quickly as we can — usually within a few working days.
Keeping your information safe
Data is stored in secured, access-controlled systems, and only the organising team members who need it can see it. No system is perfect, but we take reasonable steps to protect your details and to act quickly if anything goes wrong.
Children and learners
Learners attend the expo through their schools. We do not collect personal details from learners through this website; school participation is arranged with educators and school representatives.
Changes to this policy
If we change how we handle your information, we'll update this page and change the date at the top. Significant changes will be communicated to registered exhibitors by email.
